The following terms and conditions are an agreement between you and Great Aves. The Arajuno Road Project and YouVolunteer are project names for Great Aves Ltd, whose office is at 1 Riverside Close, Oundle, Peterborough, PE8 4DN, company reference number 06289633. When you make a booking for a Great Aves venture, you are agreeing to what is written below.
1.1 Arranging suitable accommodation and food (where applicable) during the period of the Volunteer's involvement in the Project.
1.2 Arranging in-country coordinators to lead and manage projects where required.
2.1 Upon receipt of your booking form and deposit, we will start to process your application. If you withdraw your application at any stage, as we will have already incurred costs in processing your application, we cannot refund your deposit. We will refund all fees paid to date, if we cannot locate a placement for you.
2.2 The outstanding balance must be paid in US dollars by the Volunteer no later than 1 day after arrival. If, for any reason, the Volunteer does not make full payment by this date, then the Great Aves reserves the right to cancel the Volunteer's placement, without any refund.
2.3 The total payment (ie. the deposit and remaining sum paid) shall become non-refundable 1 week after the Project start date.
3.1 If you wish to make any changes to your placement, we will try our best to do this for you. You must ensure that you request changes in writing.
3.2 Changes to project dates will not be allowed once the placement has started.
4.1 Once paid, the booking fee is non-refundable.
4.2 Any refunds of the remaining project costs shall be refunded at Great Aves’ discretion, and will only be for each full week not completed, and will only be considered in exceptional circumstances.
5.1 We will only cancel your placement when we receive instructions in writing (e-mail or letter) from you. Cancellation is effective from the day we receive this notification.
5.2 Any cancellation before project start date will not incur any charges, the deposit will remain non-refundable.
6.1 You must ensure that you have a full passport, valid until at least 6 months after your planned return date.
6.2 Great Aves is not liable for any problems encountered with customs and immigration.
7.1 If the security situation requires it, Great Aves may issue travel advice during your placement. It is your responsibility to clarify any travel advice or information that you receive from Great Aves so that you can make an informed decision.
7.2 Before you travel, it is your responsibility to check all relevant travel advice which, for the UK, includes that issued by the Foreign and Commonwealth Office www.fco.gov.uk.
8.1 All volunteers must seek medical advice before starting a placement and are responsible for their own vaccinations and medical and drug supplies
8.2 We reserve the right to reject your application or cancel your booking on medical grounds.
9.1 The accommodation, food and toilet facilities will be of a local standard that may differ from what you are accustomed to in your home country. You may be required to share a bedroom and/or bathroom.
9.2 Great Aves will supply basic food for breakfast, lunch and dinner, from Monday to Friday, and breakfast on Saturday. Other meals are subject to availability.
9.3 Other food stuffs, including alcohol must be purchased by volunteers.
9.4 While we will endeavour to accommodate special dietary requirements by passing these on to your in-country coordinator, we cannot guarantee that they will be met.
10.1 You are responsible for arranging and paying for flights to and within your chosen country.
10.2 Apart from the meet and greet service when you first arrive in Puyo, you are responsible for internal travel costs during your placement. In all cases, this includes daily transport to and from your placement.
10.3 We / your in-country coordinator cannot meet, reimburse or otherwise be responsible for any flight, travel or other costs or expenses of any nature which are incurred or arise as a result of your placement not proceeding or being cancelled, curtailed, withdrawn or changed due to circumstances outside our control/the control of your in-country coordinator.
10.4 By entering any vehicle used by Great Aves, the Volunteer accepts that Great Aves and its employees are not liable for any injury or loss encountered as a result of using the vehicle.
11.1 Before you travel with Great Aves you must be covered by insurance, which must include adequate cover for baggage, medical expenses, the activities you will be undertaking and the cost of repatriation should you become too ill too continue you placement or tour, including helicopter rescue and air ambulance. If you travel without adequate insurance you will not be allowed to take part in your tour of venture with no right of refund.
12.1 If the Volunteer wishes to make a complaint in relation to the project, he/she shall bring the complaint to the attention of the in-country coordinator, who shall use his/her reasonable efforts to resolve the complaint within a reasonable time.
12.2 If the in-country coordinator is unable to resolve a serious complaint, the Volunteer shall provide Great with a written version of events prior to Volunteer's departure.
12.3 No compensation shall be given to the Volunteer, unless there are extreme circumstances, which shall be determined at the sole discretion of Great Aves. The Volunteer agrees that under no circumstances shall Great Aves be liable for damages or compensation arising from any claim related to the assessment of inconvenience, disappointment, discomfort or loss of enjoyment.
13.1 Respect, and seek to understand, the culture of the country you are placed in. This involves being tolerant to varying approaches of the local people (your coordinator can explain the cultural norms and advise you).
13.2 Abide by all the rules of the project at which you are working and respect them as any other member of staff.
13.3 Not accept payment of any kind for the work that you are doing.
13.4 You must treat with care all of the materials that you use during your placement.
13.5 You must abide by the rules of the accommodation in which you are staying. You are not allowed to make your own accommodation arrangement for security reasons Settle any outstanding bills before leaving the accommodation.
13.6 Be aware that there will be no refunds for food/accommodation if you decide to go on trips or leave early.
14.1 We will end our agreement with you, in writing:
14.1.1 If we discover that you have deliberately lied or not disclosed important requested information about yourself during the application process, which may call into question your suitability for volunteering.
14.1.2 If you are found to be involved in the misuse of substances which are illegal in the country of your placement and/or your home country, or you are involved in any illegal activities while you are on your placement.
14.1.3 In certain circumstances, we may find it more appropriate to issue a written warning to you. We will make the reasons for the warning clear, and give you a reasonable amount of time to alter your behaviour. If you do not comply with this request, we will end our agreement with you.
14.2 You may end your agreement with us, in writing:
14.2.1 If Great Aves has failed to provide you with the appropriate placement.
14.2.2 For personal reasons, i.e. family illness. In these circumstances, you may be able to claim for part of your placement fee, less the appropriate excess, through any travel policy you may have purchased.
15.1 We believe that all marketing statements are true at time of printing. Every reasonable effort has been made to ensure that only correct details are given.
15.2 Great Aves will not be held responsible for any changes that become known after any promotional material has been produced, nor can we accept liability for happenings outside our reasonable control.
16.1 These conditions will be governed by the laws of England and Wales. We both agree that the Courts of England and Wales will deal with any claim you wish to bring against Great Aves directly.
16.2 When signing these terms and conditions, both parties recognise that you are not an employee of Great Aves.
16.3 Nothing in these conditions is intended to exclude or limit our liability to you if death or personal injury is caused by our negligence or that of our employees (providing they were at the time acting within the course of their employment). This also applies to fraudulent mis-statements.
17.1 By agreeing to these terms and conditions you agree that we may use any photo(s)/image(s) we or someone on our behalf take of you or any comments (written or verbal) you make during or in connection with your placement for our promotional/marketing purposes without obtaining your further specific permission or making any payment to you. Such use may include mentioning your name, age and time of placement.
